90-802 Computer Application for Public Managers

Lab Assignment #3

Due July 10, 1997 - REVISED DATE!!

Complete this exercise after completing Lesson 11 - 14 in your Access book.

Create a data entry form for recording the responses to Sweet Lil's Customer Survey. Sweet Lil's is expecting a high response rate, so you want to make the data entry as easy and accurate as possible. Toward this end, when creating your form, you should use combo boxes, a check box, validation checks and default values where appropriate.

The form you create should contain a subform. The main form allows the data entry person to find the customer and then the survey results for that customer can be entered in the subform.

Note: You should however use a combo box for entering the response to Question 2.

When you have completed the form, make sure you save it. Test the form by entering yourself as a respondent. Then generate the following 2 printouts:

  1. With your personal data displayed on the new form, print the form (select current record when printing so only one form prints).
  2. Print the properties of the form. Here is how you can do it.

    Click in the following order:

    1) Tools

    2) Analyze

    3) Documentor

In the wizard that appears do the following:

    1) Object Type = Form

    2) In the check box options, check the two forms that you created

recently, (both the Main form and the sub-form for Sweet Lil's

    Customer survey)

    3) DO NOT CLICK "OK" yet. Instead...

    4) Click "Options..."

A new option form (called "Print Form Option" ) will appear.

    1) Under "Include for form" select "properties" (only)

    2) Under "Include for sections and controls" select "Names and Properties"

    3) Again, DO NOT CLICK "OK" yet. Instead...

    4) Click "Properties"

A new dialog box (called "Property Categories") will appear.

In this dialog box, you will see four print properties. Make sure that ONLY

"Data Properties" is checked. If the others are checked (by default)

make sure that you uncheck them using the "unselect" button.....else you

will end up printing 20+ pages.

You are now ready to print:

    1) In the "Property Catagories", click "OK"

    2) This will take you back to "Print Form Option". Click "OK"

    3) This will take you back to "Data Base Documentor". Click "OK"

    4) This will take you to print preview window. Make sure that you have

only two or three pages to print.

    5) On the main menu, click on file, print and OK.
